    Provides a full range of administrative assistance and management of the accounting processes for the Center for Immunobiology. 



    • Provides administrative assistance to the Center for Immunobiology.
    • Manages billing, invoices, and deliveries for the Center.
    • Audits and tracks laboratory finances and performs financial projections
    • Coordinates and cross-checks budgets and accounts
    • Manages the calendars of Director of Center for Immunobiology as well as all faculty within the Center.
    • Creates and distributes weekly and monthly schedules.
    • Schedules and coordinates staff meetings upon request, including preparation of agendas and minutes
    • Orders, tracks, receives and manages lab equipment and supplies.
    • Orders, tracks, receives and manages all office furniture and supplies
    • Manages all office equipment (copiers, etc.) and calls for equipment repairs.
    • Assists in recruitment process for Center for Immunobiology, including reviewing incoming CVs, organizing interview schedules, managing interview feedback, and assisting with onboarding.
    • Assists with goal setting and performance reviews for all staff positions.
    • Provides training/retraining to all incoming Center for Immunobiology staff on telephone, copier, and all relevant websites and software.
    • Sorts and distributes department mail. Manages visiting scientists (housing, per diem, transportation).
    • Manages and organizes visiting professor presentations/lectures.
    • Serves on relevant WMed committees.
    • Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
    • Acquires knowledge for new technology and policy/procedure revisions.
    • All other duties as assigned.


    • Bachelor’s degree preferred or equivalent, relevant years of experience in similar role
    • Minimum one year administrative assistant experience.
    • Management experience highly preferred.
    • Basic knowledge of accounting principles and processes.
    • Billing, invoicing, and reconciliation experience preferred.
    • Proven knowledge and proficiency in word processing and file management using Word, Excel and other software as required by the department. 
    • Knowledge and proficiency in grammar and spelling skills. 
    • Ability to communicate effectively with others verbally and in writing.
    • Proficiency in administrative and clerical procedures, systems organization, management of printed and electronic files and records, form design and other office procedures.
    • Ability to handle high-level administrative issues, analyze and solve work-related problems.
    • Ability to work independently, perform as a self-starter, and meet critical deadlines.
    • Ability to develop correspondence, documents, agendas, meeting materials, presentations, organizational charts, etc.
    • Meticulous attention to detail.
    • High degree of integrity to maintain absolute confidentiality in all matters.
    • Strong interpersonal skills and ability to support team members and contribute in a team environment.
    • Organizational skills, especially in connection with project planning and management.
    • Strong, time management skills, with the ability to set priorities, delegate responsibilities, and organize workflow.

The 350,000 square foot educational building on the W.E. Upjohn M.D. Campus located in downtown Kalamazoo underwent a $78 million renovation and expansion project including two laboratory research floors and a state-of-the-art Simulation Center that is accredited by the Society for Simulation in Healthcare. The Innovation Center on the Parkview Campus is a life science, technology, and engineering incubator serving the earliest startups to maturing companies with laboratory, office and conference space, access to core scientific equipment and expertise, and a wide range of support services.
