  • Overview

    Data Management Specialist will gather, maintain and interpret raw data and/or patient medical records and enter key variables into Sponsor designed computer-based systems, spreadsheets, or data capture forms. Also, assists the research team in study set-up, maintenance, and finalization of study documentation, master study files, and archival procedures. Plays an important role in providing key information to Sponsors and research teams through timely and accurately processing data, files, and documents.

    Responsibilities

    • Attend Site Initiation Visits or other training necessary to understand study protocol requirements; read and understand the significance of data collection and variables as they relate to studies.
    • Work closely with Regulatory Document Specialists and Clinical Research Associates to set up initial master study files and to maintain organized, high-quality records throughout the study.
    • Inspect received information for completeness and accuracy and resolve any issues with data recorders, medical staff, or relevant personnel.
    • Anticipate study activities to manage workload and provide follow-up on any outstanding items.
    • Maintain documents and related materials to standards necessary as described in Good Clinical Practice; follow data entry techniques that allow for complete, accurate, and accountable records of study conduct.
    • Interact with representatives from Sponsors or Sponsor CROs in order to clarify issues, resolve queries, and meet timelines and expectations.
    • Organize and maintain master study files and document maintenance processes to ensure accuracy and efficiency.
    • Prepare master study binders and start up materials for use prior to study initiation. Collaborate with Quality Control Analyst and Clinical Study Coordinator at study close-out to ensure all data captured appropriately and assist with routine study close-out procedures.
    • Archive study documentation and master study files according to protocol specifications
    • Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
    • Acquires knowledge for new technology and policy/procedure revisions.
    • All other duties as assigned.

     

    Qualifications

    • Associates Degree in a health-related field (or equivalent experience) and two years’ experience in a relevant field.
    • Quality control experience preferred.
    • Familiar with medical terminology, medical record transcription, and HIPAA regulations.
    • Familiarity with multiple computer applications and electronic data capture systems preferred.
    • Excellent written and verbal communications skills. Data Specialists will communicate with physicians, medical staff, research team personnel, Sponsors, and others as necessary.
    • Must be able to pay attention to fine detail over lengthy periods of time.

The 350,000 square foot educational building on the W.E. Upjohn M.D. Campus located in downtown Kalamazoo underwent a $78 million renovation and expansion project including two laboratory research floors and a state-of-the-art Simulation Center that is accredited by the Society for Simulation in Healthcare. The Innovation Center on the Parkview Campus is a life science, technology, and engineering incubator serving the earliest startups to maturing companies with laboratory, office and conference space, access to core scientific equipment and expertise, and a wide range of support services.
