    Western Michigan University Homer Stryker MD School of Medicine is recruiting for an Core Clerkship Coordinator. The core clerkship coordinator position will act as a first point of contact and liaison for all medical students, faculty, residents, community faculty, site personnel and school administration, and must be knowledgeable about medical education in general, the clerkship, the student programs within the medical school, and its relationship with other clerkships within the medical school. This role will retrieve, maintain, and tabulate the records of student performance for each clerkship rotation, and must ensure that all aspects of the clerkship operate in a smooth, timely, and professional manner. It is expected that this position will understand the curricular goals, policies, and standards of the specific clerkship, department, and medical school.


    • Manage daily operations of the clerkship, organize and prioritize necessary tasks, initiate changes and resolve issues as they arise. Maintain timely and up-to-date enrollment and student information for clerkship in CLEARvue and New Innovations.
    • Provide primary support for the clerkship director in all matters relating to the clerkship.
    • Annual review and revision of the clerkship syllabi under the direction of the clerkship director.
    • Function as a representative at committee meetings; taking and producing minutes for each meeting.
    • Development of the rotation schedule for the academic year.
    • Organize and schedule the clerkship orientation and corresponding instructors; prepare materials for orientation; prepare and post site assignments, schedules and student posters for clerkship activities.
    • Working with the clerkship director to recruit faculty for clerkship teaching.
    • Coordinate conferences, grand rounds, outside guest speakers and other formal didactic events.
    • Matching student assessments to faculty and residents in New Innovations.
    • Monitor the student mid-clerkship performance and summative assessment process and maintain complete and accurate student files. Notify clerkship director of any performance red flags or discrepancies.
    • Ensure that the student assessments are completed by the clerkship director in a timely manner.
    • Participate in the grading process and prepare final grades for submission. Ensure final grades are reported in a timely manner to the Registrar’s office.
    • Organizing, collecting and assisting the clerkship director with processing the clerkship specific OSCE results.
    • Order/proctor National Board of Medical Examiners (NBME) shelf examinations or other required examinations, following all NBME requirements regarding security of examinations and proctoring are met. For internally-developed examinations, work with the clerkship director to record individual student scores.
    • Regularly communicate with the clerkship director and other site administrators concerning schedules, course requirements and assessments, and other student and faculty issues.
    • Gather and process preceptor faculty hours and clerkship payments at the end of each clerkship rotation.
    • Arrange all hospital and off-site computer and badge access documents.
    • Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
    • Acquires knowledge for new technology and policy/procedure revisions.
    • All other duties as assigned.



    • Bachelor's degree in education, business administration or a related field preferred or one to two years in an administrative or educational setting.
    • Requires proficiency with email, electronic calendaring, scanners, and copy machines.
    • Requires proficiency with Microsoft Office (Word, Excel, and PowerPoint).
    • Experience with Apple technology preferred.
    • Experience with electronic multimedia (video and audio) formats preferred and other instructional technology.
