Overview

The Data Manager will be expected to perform the following primary job functions: (1) Act as a consultant to faculty
and other investigators to help them formulate scientific questions that can be answered accurately based on the
limitations of available data and query design. (2) Assist with promotion of the Data Warehouse through
occasional professional presentations and seminars. (3) Coordinate the implementation, maintenance, cleaning,
curation, and merging of data from multiple databases as part of WMed’s Virtual Data Warehouse (VDW) with the
assistance of WMed data analysts. (4) Coordinate processes with other research support services in the DASU and
other research support services both inside and outside of WMed. Databases will include both databases maintained
in the Data Warehouse itself as well as those maintained by other institutions that WMed has authorized access to.

Responsibilities

  • Lead the design, development, testing, and maintenance of new datasets and databases in addition to
    assigning secure access to data from databases external to WMed in collaboration with faculty,
    staff, students, and others to meet their growing research and administrative needs.
  • Act as a consultant to faculty, staff, students, and others to help them design queries to answer
    their research question based on available data and assist in validation of the resulting dataset, i.e., data
    limitations, completeness, and accuracy.
  • Act as an Honest Broker of patient identifiers for approved data de-identification strategies in accordance with
    governmental regulations, IT industry best practices, and WMed policies.
  • Provide input into the design of WMed and Data Warehouse policies, procedures, and processes to optimize
    data security, patient privacy, and the value of the data for research, quality improvement, and
    other authorized purposes.
  • Support WMed faculty, staff, and others with data cleaning activities where doing so improves the accuracy and
    completeness of the database.
  • Curate merged and cleaned datasets in a secure manner that will support potential reuse in the future.
  • Manage access to secured server workspace assigned to WMed faculty, staff, students, and
    others for authorized use of the Data Warehouse in compliance with data security and patient
    privacy governmental regulations, IT industry best practices, and WMed policies.
  • Assist in the preparation of abstracts, manuscripts, and grant applications from the data management standpoint.
  • Provide faculty, staff, students, and others with the necessary training and assistance to input and extract
    data for authorized purposes.
  • Promote the use and awareness of the WMed Data Warehouse by delivering professional presentations to
    various WMed and WMed-affiliated groups.
  • Develop and deliver data management curriculum to a variety of WMed educational venues including
    the School of Medicine, residencies, and fellowships, as needed.
  • Acquire knowledge of new technology and policy/procedure revisions.
  • Availability to work on weekends and evenings to complete time sensitive projects.
  • All other duties as assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each Essential Duties and Responsibilities
(listed below) satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability
required.


EDUCATION AND/OR EXPERIENCE:

  • Bachelor’s degree or equivalent in nursing with experience working in a clinical environment, required
  • Experience working with clinical data from Epic EHRs and associated Epic training and/or certifications, required
  • Minimum one year experience in clinical database management, preferred.
  • Experience managing sensitive data security practices, preferred
  • Experience in Clinical Research, preferred

OTHER SKILLS AND ABILITIES:

  • Knowledge of and experience with using and maintaining relational databases in a secure environment.
  • Knowledge of and experience with maintaining datasets for a covered entity in compliance with the Health
    Insurance Portability and Accountability Act (HIPAA).
  • Using both deterministic and probabilistic linking strategies, merge records from two or more databases in a manner that minimizes erroneous and optimizes correct matches.
  • Excellent oral and written communication skills.
  • Experience with collaboration on multi-disciplinary teams.
  • A commitment to ongoing professional development, keeping up to date with relevant advances in the
    biomedical informatics field
  • Demonstration of the ability to recognize important priorities in organization of workflow.
  • Able to prioritize projects and duties independently, with a minimal need for direct supervision.
  • Experience designing and delivering presentations to a large audience.
