Overview

Western Michigan University Homer Stryker M.D. School of Medicine is recruiting for a Division of Outreach Medicine Program Coordinator. The Program Coordinator, will work directly with the Vice President of Clinical Affairs at Western Michigan University Homer Stryker M.D. School of Medicine (WMed), to support the Division of Outreach Medicine. The coordinator will act as a first point of contact and liaison for all medical students, residents, faculty, community faculty, site personnel and school administration and must be knowledgeable about medical education in general, and the outreach medicine programs (including Street Medicine and the Firehouse Clinic). This role emphasizes coordination, logistical support, data management, and effective communication within the Division of Outreach Medicine, residency program coordinators, student clerkship directors, other medical school administrative staff, as well as with community partners. The Coordinator assists with clinic scheduling for faculty, students, and residents, recruitment and onboarding of volunteers and staff, management of supplies and inventory, and ensures compliance with necessary training and certifications. Additionally, the Coordinator supports budget tracking, oversees donation management, prepares documentation and reporting for grants, and coordinates internal and external meetings.

 

This position will require the Program Coordinator to have excellent interpersonal skills, exercising strong organizational and time management skills with exceptional attention to detail and experience/knowledge for program evaluation. Essential for this role is the adeptness to work independently and as part of a team with a collaborative approach to problem-solving.

Responsibilities

  • Manage scheduling and coordination of students, residents, faculty, volunteers, and staff attending outreach clinics.
  • Recruit, onboard, and manage training for students, residents, faculty, volunteers and staff.
  • Assist with creation of orientation and training materials.
  • Manage clinical and administrative inventory, ordering supplies as needed.
  • Maintain compliance with necessary certifications and training requirements.
  • Track budgets, expenses, and manage donation systems.
  • Prepare documentation and reports for grants and funding sources.
  • Coordinate and facilitate internal and external meetings, including agendas and meeting minutes.
  • Support effective communication across teams and with external stakeholders, including student clerkship directors, resident program coordinators, medical school administration, and community partners.
  • Other duties as assigned.

Qualifications

 

EDUCATION AND/OR EXPERIENCE: 

  • Bachelor's degree required; education in relevant fields such as public health, healthcare administration, social work, education, or related field preferred.
  • Minimum of 2 years of full-time professional experience in administrative coordination, program support, or a related role, preferably within healthcare, social services, or educational settings.
  • Experience working with diverse populations and familiarity with programs addressing homelessness or healthcare access issues preferred.
  • Highly proficient using Microsoft Office (Word, Excel, and PowerPoint), Adobe Acrobat, email, scanning and document management software, and internet research skills.

 

OTHER SKILLS AND ABILITIES: 

  • Content familiarity and a commitment to stay current on issues pertaining to homelessness, health needs and access issues.
  • Strong project management skills and ability to track details across multiple complex projects.
  • Strong written/verbal interpersonal and communication skills, including presentations and public speaking skills.
  • High level organization and critical thinking skills.
  • High level communication skills (both written and oral) to effectively interact with faculty, staff, and students.
  • Meticulous attention to detail.
  • Ability to create schedules and complete other tasks with accuracy and thoroughness.
