Overview

Western Michigan University Homer Stryker M.D. School of Medicine is recruiting for an Assistant Director, Account and Controller. Provide leadership and direction for the institution’s financial functions under the general oversight of the Senior Director, Accounting and Finance. Responsible for multiple functions including payroll administration, procure to pay processes, and order to cash processes. Lead the establishment and maintain accounting principles, standard practices, and procedures.  Provides oversight and coordination of operating reports and statutory filings.  Establishes and maintains financial controls. Responsible for supervision of the Accounting Manager and other assigned support staff.

Responsibilities

  • Manages the accounting functions including establishing and maintaining accounting principles, practices, and procedures.
  • Responsible to direct and mentor manager, senior accountants, and other support staff including recruitment, training, coaching and effective performance.

 

Month-End and Year-End Close

  • Manages the month-end and year-end closing process and reviews monthly, quarterly, and year-end reconciliations. This includes ensuring all costs incurred are properly recorded; review of journal entries, account balance reconciliations, and supporting report preparations for an accurate and timely closing.
  • Oversees the review and reconciliation of all accounting transactions related to payroll, general accounts receivables, accounts payables, inventory and fixed assets while maintaining strong internal controls.
  • Prepares and reviews account reconciliations and accruals for accuracy and compliance with GAAP.
  • Acts as a liaison between WMed and the outside auditors in providing the required information and ensuring that the proper information is stored for historical puposes.
  • Prepares and distributes detailed reports and presentations for review by all levels of management.
  • Evaluate and monitor internal controls along with efficiency and effectivenss of departmental procedures, recommends and implements changes to internal controls and procedures when necessary.
  • Participates in the review of financial statements for reasonableness, accuracy, and compliance with GAAP.
  • Responsible for researching and implementing new accounting standards.

 

Payroll Management

  • Oversees and manages the operational activities related to the generation and distribution of payroll disbursements for employees. Participates in the resolution of payroll related issues..
  • Supervises payroll personnel.
  • Maintains high level of confidentiality and has a working knowledge of applicable federal and state regulations related to employee and vendor payroll disbursements.
  • Partners with Human Resources and Information Technology on continuous improvement of the Human Resources Information System.
  • Works closely with Human Resources on WMed benefit plans. Oversees benefit plan audits.
  • Manages and/or generates and files all required vendor or tax returns (payroll related), statements and/or payments.

 

Accounts Payable/Receivable

  • Supervises the manager over the activities and personnel of the organization's accounts payable/receivable section.
  • Provides final approval of all disbursements in PNC from NetSuite and all subsidiary ledgers.
  • Oversees the maintenance of accounts payable/receivable ledgers.
  • Develops policies and procedures regarding bill payment, credit and collection activities, and billing investigations.
  • Recommends the amount of working capital necessary to finance accounts payable and/or receivable.
  • Monitors financial reports and develops policies and procedures for patient account collections and monitoring the collections of past-due accounts.
  • Maintains strong working relationship with Bronson professional billing team.
  • Manages and/or generates and files all required tax returns (vendor related), statements and/or payments.

 

Materials Management

  • Oversees all activities that involve the acquisition of equipment and supplies.
  • Participates in monitoring budget activities, including the capital equipment budget.
  • Reviews quotes and contracts from the vendors.
  • Supervises procurement personnel.
  • Oversees audits to determine items needing restock and to prevent loss and damage.

Other

  • Provides oversight and coordination of tax and statutory filings.
  • Assists with the development, implementation and ongoing integrity of the financial accounting system.
  • Assists with the preparation of annual budget and related analysis, including variance reporting.
  • Remains up to date with new technology and policy/procedure revisions.
  • May conduct periodic and/or special studies/analysis. Reviews, evaluates, and monitors organizational and departmental strategies, and policies and procedures as they apply to the assigned accounting functions to insure that they are applied effectively and consistently.
  • Leads and manages projects and continuous improvement efforts as defined by the Senior Director, Accounting and Finance.
  • Assists in setting and maintaining strategic direction for the accounting department, and aligning department and personal goals to help achieve its objectives and the organization’s objectives.
  • Availability to work evenings and weekends to complete time sensitive or seasonal projects.
  • Acquires knowledge for new technology and policy/procedure revisions.
  • All other duties as assigned.

Qualifications

EDUCATION AND/OR EXPERIENCE: 

  • Bachelor’s degree in accounting required.
  • Seven years related experience including a required minimum of two years’ experience in public accounting.
  • Outstanding financial expertise and related technical skills, including a deep knowledge of financial and accounting principles and standards.
  • Proven ability to exercise good judgment in complex situations.
  • Ability to interpret and apply legal and procedural requirements.
  • Ability to interpret and apply professional principles and standards.
  • Ability to analyze highly complex fiscal data and operating procedures, and make projections and recommendations.
  • Strong knowledge of Generally Accepted Accounting Principles (GAAP), Generally Accepted Auditing Standards(GAAS), Internal Revenue Service (IRS) Code, Financial Accounting Standards Board (FASB), auditing, payroll processing, fixed asset accounting, tax filing requirements, and strong financial analytics.
  • High level of proficiency in finance-specific applications including Enterprise Resource Planning (ERP) systems, data mining systems, Excel and Microsoft Word, and related office productivity tools.
  • Strong management, mentorship, and leadership ability.
  • Abilitiy to exercise independent judgment; organize and prioritize work of others; establish and maintain working relationships; maintain impartiality and objectivity.

 

LICENSES, REGISTRATIONS, CERTIFICATIONS: 

  • Current Certified Public Accountant (CPA) required.
